Coordonnateur(trice) Administratif(ve) de Bureau

Le(la) Coordonnateur(trice) Administratif(ve) de Bureau joue un rôle clé en soutenant diverses fonctions administratives, opérationnelles et RH au sein de l'organisation. Ce poste polyvalent, entièrement en présentiel, implique de fournir un soutien exceptionnel aux employés, de gérer les opérations de bureau, d'assister les fonctions RH (intégration/départ), de soutenir les tâches administratives liées aux ventes, de coordonner les événements et d'assurer un déroulement fluide du quotidien au bureau.

Soutien Administratif

  • Situé(e) à la réception, vous êtes le premier point de contact pour les employés et les visiteurs, en fournissant des orientations et en dirigeant les demandes vers les bonnes personnes, ainsi qu'en distribuant le courrier.
  • Reconnaissance des événements de la vie des employés :
  • Coordonner et envoyer des cadeaux pour les événements de vie des employés (mariages, naissances, deuils) au nom de l'entreprise.
  • Réception & Relations avec les visiteurs :
  • Accueillir les clients et visiteurs externes, et les diriger vers les bons interlocuteurs.
  • Accepter les livraisons de fournisseurs externes (y compris les démarcheurs) tout en garantissant la confidentialité des informations des employés.
  • Coordonner les livraisons par camion en guidant les chauffeurs sur les zones de déchargement.
  • Communications :
  • Rédiger toutes les communications internes destinées aux employés (ex : RH, Chaîne d'approvisionnement).
  • Publier les mises à jour hebdomadaires sur les écrans TV.
  • Gérer le portail RH interne (Hub Plus dans Dayforce).
  • Mettre à jour et maintenir les listes de distribution par e-mail.

Coordination des Événements & Repas

  • Planifier et coordonner les repas pour les événements d'équipe (célébrations, petits-déjeuners, déjeuners, collations) en veillant à une sélection appropriée de nourriture et de boissons.
  • Organiser des événements d'entreprise plus importants, incluant des activités de renforcement d'équipe et des réunions à l'extérieur.
  • Gérer la logistique des événements internes (ex : réunions des partenaires commerciaux, réunions de vente), y compris les repas, les déplacements (hôtels et taxis), les réservations de lieux et l'achat de récompenses.
  • Coordonner les livraisons hebdomadaires de petit-déjeuner (ex : bagels) et assurer la préparation des rassemblements hebdomadaires au bureau.

Gestion du Bureau

  • Superviser le réapprovisionnement et l'organisation des fournitures de bureau, du papier pour photocopieur, des toners et autres essentiels.
  • Gérer les stocks de la cuisine et commander le café et autres consommables. Planifier l'entretien des machines à café et des distributeurs automatiques.
  • Santé et sécurité :
  • Maintenir à jour les coordonnées imprimées des employés et les listes d'évacuation.
  • Vérifier régulièrement le matériel d'évacuation (ex : piles de lampes torches et talkies-walkies).

Soutien RH

  • Participer aux activités d'intégration : organiser les horaires de formation, attribuer des collègues de parrainage, préparer les fournitures pour les nouvelles recrues.
  • Coordonner et suivre les départs d'employés en s'assurant que toutes les étapes (documents, accès, procédures de sortie) sont respectées.
  • Mettre régulièrement à jour les listes de distribution par courriel et gérer la boîte de réception RHM pour assurer une communication efficace.
  • Suivre et coordonner les récompenses d'ancienneté : achat, gravure et ajustements de paie pour les reconnaissances monétaires.

Gestion des Voyages & Hébergement

  • Organiser les déplacements des candidats et des membres de l'équipe des ventes : réservations de vols, hôtels, taxis.
  • Créer et gérer des comptes sur les plateformes de réservation en ligne en respectant les bonnes pratiques de voyage.
  • Coordonner le voyage annuel de reconnaissance des ventes.

Comité Social & Engagement des Employés

  • Fournir un soutien administratif au responsable du Comité social : recherche de prestataires, rédaction des communications (e-mails, formulaires), et organisation des événements de l'entreprise.

Qualifications:

  • Diplôme universitaire en ressources humaines, administration des affaires ou domaine connexe, ou expérience équivalente.
  • 1 à 2 ans d'expérience dans un rôle administratif, RH ou de gestion de bureau.
  • Excellentes compétences organisationnelles et de gestion du temps, avec un souci du détail.
  • Excellentes compétences en communication orale et écrite en français et en anglais.
  • Capacité à gérer plusieurs tâches et priorités dans un environnement dynamique.
  • Maîtrise de la suite Microsoft Office et des systèmes de gestion RH.
  • Solides compétences interpersonnelles et capacité à collaborer avec différentes équipes.

Administrative Office Coordinator

Location: Onsite | Full-Time

The Administrative Office Coordinator plays a key role in supporting various administrative, operational, and HR functions within the organization. This fully onsite multifaceted role involves providing exceptional support to employees, managing office operations, assisting with HR functions (onboarding/offboarding), sales administrative tasks, coordinating events, and ensuring a smooth daily workflow for the office environment.

Administrative Support:

  • Seated at reception, you are the first point of contact for employees and visitors, providing guidance and directing inquiries to the appropriate personnel and distribute mail.
  • Employee Life Event Recognition:
  • Coordinate and send gifts for employee life events (marriages, births, bereavements) on behalf of the company.
  • Reception & Guest Relations:
  • Greet external clients and visitors, ensuring they are directed to the appropriate location.
  • Accept deliveries from external vendors (including solicitors) and ensure confidentiality of employee information.
  • Coordinate truck deliveries by advising drivers on where to drop off goods.
  • Communications
  • Draft all internal communications to be sent to employees (i. e. : HR, SC)
  • Post weekly TV Updates
  • Maintain internal HR portal (Hub Plus in Dayforce)
  • Update and maintain email distribution lists.

Event & Catering Coordination:

  • Plan and coordinate catering for departmental events, including team celebrations, breakfasts, lunches, and snacks, ensuring proper food and beverage selection.
  • Organize larger employee events, including team-building activities and off-site meetings.
  • Handle logistics such as catering, travel (hotel and taxis), venue booking, and the procurement of awards for internal events (e. g. , Channel Partners Meeting, Alignment Meeting, and Sales Meetings).
  • Coordinate weekly breakfast delivery (ex: bagels), ensuring preparation for the office's weekly gathering.

Office Management:

  • Oversee the restocking .
