Crew HR is seeking a Business Operations Coordinator for our client, Breakthrough Academy!
BUSINESS OPERATIONS COORDINATOR

ABOUT BREAKTHROUGH ACADEMY
Breakthrough Academy specializes in helping high performing entrepreneurs in the contracting industry grow their businesses by implementing excellent operational systems into their companies. We believe in the unlimited potential of entrepreneurship and help our Members (customers) break through barriers and take their businesses to the next level.
Our proprietary training program brings systemization to a contracting company's operations, develops an entrepreneur's core business skills, and holds accountability to goals along a clear business plan.

Breakthrough Academy is now nine years old and growing rapidly, with over 1,000 business owners developing in the program, and an awesome team of 50 running the show. We are leaders in the contracting industry, helping companies across the continent to implement systems & processes into their operations.

Because of this, we are looking for our next Business Operations Coordinator to support the Managing Director in continuing the advancement of company projects and goals.

IN THE ROLE, YOU WILL BE:

Managing the flow of multiple ongoing projects across departments, using tools like Asana to ensure deadlines are met and objectives are accomplished.
Overseeing full calendar management for the Directors, ensuring smooth scheduling, prioritization, and focus on high impact tasks.
Handling email prioritization and management for the Directors, filtering and organizing communications.
Act as the communication liaison for the Directors, ensuring timely and effective communication both internally and externally.
Coordinating business and personal travel arrangements, handling all logistics.
Organizing meetings with clear agendas, action items, and follow ups, ensuring all participants are aligned and prepared.
Tracking progress of key initiatives and deliverables, providing regular updates, holding accountability for completion.
Assisting in planning, organizing, and executing team events, meetings, and company wide initiatives.
Compiling key metrics and reports, preparing data dashboards that enable the Directors to make informed decisions quickly.
Ensuring that all tasks and decisions from meetings are followed up on and completed within established timelines.
Guaranteeing that meetings are purposeful, streamlined, and outcomes focused, always optimizing for time.
Creating impactful presentations materials for meetings and business initiatives.
Handling sensitive business information with discretion, maintaining confidentiality and professionalism at all times.
Proactively identify upcoming challenges and opportunities, staying one step ahead to ensure smooth operations and effective support for leadership.

EXPERIENCE REQUIRED:

Minimum 3 years experience of executive support that required tremendous professionalism, confidentiality, organization and accuracy
Experience supporting Executives and Managers who oversees a complex organization, with the ability to gather deep understanding of business
Ability to meet tight deadlines, coordinate several projects simultaneously and manage multiple priorities
Strong background in calendar management and email prioritization
Experience in a fast paced work environment
Strong experience with project coordination, including the use of project management tools like Asana to build and track projects
Strong Proficiency in Google Suite, Microsoft Office Suite, One Drive, Canva, Zoho and Slack is an asset
Experience working in startup environments is an asset
